Operation Specialist

Job Type: Part Time | Location: IL – Naperville

Organization/Business Overview:
IntentGen Financial Partners, an established financial services practice of the Thrivent Advisor Network in Naperville, IL is looking for a part-time Operations Specialist. Position summary:
The Operations Specialist provides administrative support to the Client Experience Director on firm projects, reporting, compliance-related items, and vendor and technology research. This position also provides administrative support to the Service and Financial Planning teams as needed for items such as billing, onboarding of new clients, and data entry. The Operations Specialist reports to the Client Experience Director and is employed by IntentGen Financial Partners.

Position Responsibilities:

  • Prepares weekly, monthly, quarterly, and on-demand reports as requested and distributes to appropriate parties for review
  • Collaborates with the Client Experience Director and other required team members to complete outstanding projects based on priority and updates master project list accordingly
  • Tracks and updates licensing for all Advisors to ensure each is up to date on state and carrier requirements and all dues are paid in full
  • Assists in the onboarding and billing setup of Financial Planning clients
  • Conducts and compiles research on possible new technologies and vendors in accordance with firm goals on an as-needed basis
  • Assists with data entry, application printing/mailing/scanning, and filing for Financial Planning and Service teams during times of high volume or staff shortages

Position Qualifications:

  • Experience in Project Planning
  • Demonstrated administrative assistance experience
  • Strong technical computer aptitude and knowledge of Microsoft tools (i.e.: Excel, PowerPoint, Word, Outlook)
  • Ability to maintain the integrity of sensitive/confidential information

Position summary:
The Planning Coordinator provides substantial support to the IntentGen team and its clients throughout all aspects of the financial planning process. This position serves as a resource to Advisors and clients by organizing data, preparing financial plans, analyzing models and projections, and helping execute strategies laid out in client meetings to maximize the value of their partnership with IntentGen. As a part of the IntentGen team, this position will also have the opportunity to participate in seminars, workshops, client events and volunteer events.

Position Responsibilities:

  • Prepare financial plans, illustrations, investor statements, and financial planning meeting agendas
  • Trade securities, monitor various trackers, prepare various reports and input data
  • Onboard new financial planning clients
  • Create financial and investment models and projections and prepare the necessary documents to support the analysis
  • Work with team members to create timely and compliant deliverables
  • Ability to understand product solution strategies and relay recommendations to address client needs as it relates to cash flow, money distribution and investment allocations
  • Research and execute managed account strategy and complete trades accurately and efficiently
  • Participate in verbal or written communications with prospective or existing customers regarding financial matters
  • Work in a team environment and demonstrate ability to build, develop and cultivate relationships
  • Actively engage in weekly team meetings and events
  • Additional responsibilities may be assigned in accordance with licensure and business needs

Position Qualifications:

  • Experience in the financial services industry preferred
  • Bachelor’s Degree in related field of study (i.e.: financial planning, finance, business, etc.)
  • Must be securities registered (Series 7 & 66 or equivalent) or be willing to obtain after hire
  • Must have IL Life & Health Insurance license or be willing to obtain within 90 days of hire
  • Knowledge of Demonstrated customer service orientation/experience, 2+ years preferred
  • Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Office Suite, Salesforce, MoneyGuidePro) desired
  • Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
  • Ability to maintain integrity of sensitive/confidential information
